Alumni portal privacy notice

This portal holds the details you give us so that alumni can find and reach each other. You choose what other alumni see, you can change or delete it at any time, and we never publish your contact details.

What we hold

What you tell us: your name, graduating class, your date of birth if you give it, national committee, the residence you lived in, where you live and work, where you studied, a link you choose to share, and anything you write about yourself.
Your email address, which we use to sign you in. There is no password — we email you a one-time link instead.
What the college already held: if you are in the college's alumni records, we show you those details so you can correct them. That record also carries notes written by alumni relations staff, which you can ask to see.
Technical records: when you signed in, from what address, and a log of decisions about your membership.

Why we hold it

To let you sign in without a password.
To let other approved alumni find you in the directory, to the extent you choose.
To let another alum ask to be introduced to you — and to share your address with them only if you accept.
To confirm you are an alum of the college. We check the email address, name, graduating class and date of birth you give us against the college's alumni records, and let you in straight away when they match. When they do not, alumni relations staff check by hand, or a classmate who is already a member can confirm you.

What other alumni can see

Your name and graduating class always appear in the directory. Everything else is your choice, field by field, and you can change it whenever you like.
Your postal address is never shown to another alum, whatever you choose.
Your email address and phone number are never published in the directory. They are shared with one person only when you accept their request for an introduction.
You can leave the directory entirely and stay a member.
Posts are for members. When a member shares a post with the Share button, though, anyone with that link — and the site it is shared to, such as LinkedIn or WhatsApp — can see a preview: the post's title, its opening lines, its first picture, and the name and class of whoever wrote it. The rest of the post and its replies stay with signed-in members.

Who else sees it

Alumni relations staff at the college, to review membership.
Amazon Web Services, which hosts the portal in India, and Amazon SES, which sends our email. They process on our instructions only.
Nobody else, beyond the preview a shared post's link shows. We do not sell or share your data, and the portal is not indexed by search engines.

How long

Your portal profile: until you delete it.
Sign-in links: 15 minutes. Sessions: 30 days.
The college's alumni record about you is kept as part of its institutional record; you can ask alumni relations to remove it.

Your rights

See everything we hold about you, including the staff notes — download it from your profile at any time.
Correct anything wrong — your answers replace the college's record.
Delete your portal account and profile yourself, at once.
Withdraw your agreement, which deletes your account.
Complain to us, and to your data protection authority. Alumni outside India may also have rights under the GDPR, UK GDPR or their own local law; we apply the same standard to everyone.
